UEMPIRE Inc. (“UEMPIRE”, “we”) takes the protection of personal information seriously. This policy explains what personal information we collect through the uempire.ca website and its product presentation subdomains (the “site”), why we collect it, how we use it, to whom we may disclose it, how long we keep it and what your rights are.
It is written to reflect how the site actually works. If a practice described here changes, the policy will be updated.
Purpose and scope
This policy applies to personal information collected through the site. It does not apply to the mobile or web applications of the UEMPIRE ecosystem (such as UVO, Unitea or ULink) where they have their own privacy notice, nor to third-party websites the site links to.
Personal information is any information about a natural person that allows that person to be identified, directly or indirectly.
Organization responsible
UEMPIRE Inc. is responsible for the personal information collected through the site and for its protection. For any question, email us at info@uempire.ca or call (+1) 514 974 1747.
Person in charge of the protection of personal information
UEMPIRE has designated a person in charge of the protection of personal information, who oversees compliance with this policy and the law and handles access and correction requests and complaints.
- Title: Person in charge of the protection of personal information (Responsable de la protection des renseignements personnels)
- Email: info@uempire.ca
- Phone: (+1) 514 974 1747
Personal information we collect
We collect only the information needed for the purposes described in this policy:
- Contact form: full name, email address and, if you choose to provide them, company or organization name and phone number; the topic of your request; the content of your message.
- Application form: full name, email address and, if you choose to provide them, phone number, position or field of interest, area of contribution and message; your résumé (PDF, DOC or DOCX file, 10 MB maximum), with the information you choose to include in it.
- Technical and security information: when you submit a form, an anti-bot verification token (see “Bot protection”) and the time the form was opened; the IP address of the request is used temporarily to limit abusive submissions.
- Language preference: if you change language, a cookie records your choice (see “Cookies”).
We do not ask for sensitive information. Please do not include any in your messages or résumé beyond what is necessary.
How we collect information
We collect information directly from you, when you fill in and submit a form or when you email or call us. Some technical information is generated automatically when you use the site, as described below.
Purposes of collection
- To answer your questions and handle your requests (project, service, partnership, UEMPIRE app or other).
- To assess spontaneous applications and communicate with applicants.
- To protect the site and its forms against bots, spam and abuse.
- To remember your language preference.
- To meet our legal obligations.
We do not use your information for targeted advertising, profiling or resale.
Consent
By submitting a form, you consent to our collecting and using the information provided for the purposes stated at the time of collection and in this policy. Your consent is requested for these specific purposes; we do not use it for other purposes without informing you and, where the law requires, obtaining new consent.
You may withdraw your consent at any time, subject to legal restrictions, by contacting the person in charge of the protection of personal information. Withdrawal may prevent us from following up on your request or application.
Limiting collection
We limit collection to what is necessary. Required form fields are marked as such; all others are optional. The site uses no audience analytics, no advertising cookies and no technology that identifies, locates or profiles you.
Use of information
Information is used only by the people at UEMPIRE who need it to perform their duties in connection with the purposes described. We make no decision based exclusively on automated processing of your information.
Disclosure and service providers
We do not sell or rent your personal information. We may disclose it to service providers acting on our behalf, only as needed for their services, including:
- hosting and technical operation of the site;
- delivering form submissions to UEMPIRE (for example, an email delivery service);
- bot protection, provided by Cloudflare, Inc. (Turnstile service).
These providers are contractually required to protect the information and to use it only for the intended purposes. We may also disclose information where required or permitted by law.
Processing outside Québec and Canada
Some of our service providers operate infrastructure outside Québec and Canada, including in the United States; this is the case for Cloudflare’s Turnstile service. Your information may therefore be processed there and be subject to the laws of those jurisdictions.
Before disclosing personal information outside Québec, UEMPIRE assesses whether it will receive adequate protection, in line with generally recognized principles of personal information protection, and governs the disclosure by a written agreement.
Retention and destruction
We keep personal information only as long as necessary to fulfil the purposes for which it was collected, or as long as required by law.
- Contact requests: while your request, and any relationship that follows, is handled, then for a limited period.
- Applications: during the assessment process and, if you are not hired, for a limited period so you can be considered for other opportunities, unless you ask us to delete them.
- Language preference: the cookie expires after one year.
Specific periods are set in UEMPIRE’s retention schedule. When the retention period ends, information is securely destroyed or anonymized in accordance with the law.
Security safeguards
We apply reasonable security measures given the sensitivity of the information, including: encrypted connections (HTTPS); server-side form validation; checks on uploaded files (type, size and content); bot protection and submission throttling; and access restricted to authorized people.
No method of transmission or storage is infallible. If a confidentiality incident presents a risk of serious injury, we will notify the Commission d’accès à l’information and the persons concerned as required by law, and we keep a register of incidents.
Analytics
The site currently uses no audience analytics or marketing measurement tool (such as Google Analytics). If we add one, this policy will be updated and, where the law requires, your consent will be requested before it is activated.
Bot protection (Cloudflare Turnstile)
The contact and application forms are protected by Turnstile, a service of Cloudflare, Inc. When you open one of these pages, Turnstile evaluates technical signals to distinguish people from bots. According to Cloudflare, these signals include the IP address, the TLS fingerprint, the browser’s User-Agent header, and the site key and its origin.
Turnstile produces a verification token, which we validate with Cloudflare when you submit the form. We send Cloudflare only this token and our secret key; we do not send it the content of your forms or your IP address. We receive a verification result (passed or failed).
Cloudflare processes these signals on our behalf to protect the site and, according to its own documentation, also to improve its bot detection service. Learn more: Cloudflare’s privacy policy (cloudflare.com/privacypolicy) and the Turnstile privacy addendum (cloudflare.com/turnstile-privacy-policy).
External links
The site links to other websites, including UEMPIRE ecosystem products, projects built for our clients and, where applicable, app stores. We are not responsible for the practices of those sites; please read their privacy policies.
Your rights
Subject to the exceptions provided by law, you may:
- request access to the personal information we hold about you and obtain a copy;
- request the correction of inaccurate, incomplete or equivocal information;
- withdraw your consent to its use or disclosure;
- ask us to stop disseminating information about you or to de-index a hyperlink attached to your name, where the conditions set out by law are met;
- request that computerized personal information collected from you be communicated to you, or to a person or organization you designate, in a structured, commonly used technological format;
- file a complaint about the handling of your personal information.
To exercise these rights, write to the person in charge of the protection of personal information. We may ask you to confirm your identity. We will respond in writing within 30 days of receiving your request.
Minors
The site is intended for adults and organizations. It is not designed to collect personal information from people under 14. If you believe someone under 14 has sent us information, please contact us so we can delete it.
Changes to this policy
We may amend this policy, in particular to reflect a change to the site or to the law. The last-updated date appears at the top of the page. If a change is significant, we will say so clearly on the site.
Contact us and complaints
For any question, request or complaint about your personal information, contact the person in charge of the protection of personal information by email at info@uempire.ca or by phone at (+1) 514 974 1747. We will handle your complaint diligently and inform you of the outcome.
